Personal Folder: Why the Share Button is Missing

Can't find the Share button for your course? If your course is in your Personal Folder (the green folder), it cannot be shared. Courses must be moved to your team space before the Share button becomes available.

Understanding Your Personal Folder

Your Personal Folder (also called Personal Workspace) is a private space within your 7taps account where you can work on courses without making them visible to your team or learners.

Key characteristics:

  • Visual indicator: Green folder icon with "PRIVATE" label

  • Official description: "A safe, private space to shape ideas before moving them to your team workspace. Courses in this space can't be shared with learners until they're moved to the team workspace, where sharing options become available."

  • Privacy: Only visible to you

  • Purpose: Draft work, experimentation, and personal practice

  • Sharing: Cannot be shared until moved to team space

Think of your Personal Folder as your private "drafts" area. It's perfect for:

  • Working on courses before they're ready for review

  • Testing new card types and features

  • Building template courses for later use

  • Personal learning and experimentation


Why You Can't Share from Personal Folder

โš ๏ธ The Share button is intentionally unavailable for courses in your Personal Folder.

This is by design, not a bug.

Why this matters: Your Personal Folder is a private workspace. Because no one else can access courses in this folder, there's no way to generate shareable links, QR codes, or send the course to learners. The sharing functionality only activates when a course exists in a team space where it can be accessed.

What you'll notice:

  • No Share button appears when editing courses in your Personal Folder

  • The course cannot be added to Learning Paths

  • Analytics and statistics are not available (because no one can access the course)

  • The course doesn't appear in your team's shared course library


How to Move Courses to Share Them

To share a course, you need to move it from your Personal Folder to your team space (the tan folders, or shared blue folders). Here's how:

  1. Open the course you want to share (while it's still in your Personal Folder)

  2. Click the three-dot menu (โ‹ฎ) in the course editor

  3. Select "Move to folder" from the dropdown menu

  4. Choose 'Team courses' or an appropriate team space folder:

    • Select the appropriate folder (these are your team's workspace folders)

    • Or select "Team Courses" (your main team workspace)

    • These folders may show as blue if they're already being shared with learners

    • Note: You cannot select the green Personal Folder - that's where you're moving from

  5. Confirm the move

  6. Now the Share button appears! Once the course is in a team space, you'll see the full Share button in the course editor, allowing you to:

    • Generate share links

    • Create QR codes

    • Send via email, SMS, or Teams

    • Add to Learning Paths

    • Export as SCORM

Common Questions About Personal Folders

Q: Can I share a course that's in my Personal Folder?

No. You must first move the course to a blue team space folder. Once moved, the Share button will appear and you can share the course with learners.

Q: What happens when I move a course out of my Personal Folder?

When you move a course from your green Personal Folder to a tan team folder:

  • The Share button becomes available

  • Other team members can now see the course (based on folder permissions)

  • You can add the course to Learning Paths

  • You can now share the course with learners (the folder will turn blue when shared)

  • Statistics tracking becomes available once shared

  • The course appears in your team's workspace

The course content itself doesn't change - only its location and sharing capabilities.

Q: Can I move a course back to my Personal Folder later?

Yes! You can move courses back to your Personal Folder at any time using the same "Move to folder" option.

When you do:

  • The course becomes private again (only visible to you)

  • Any existing share links stop working

  • The course is removed from the team's shared library

  • Statistics data is preserved but the course is no longer actively shareable

Q: Will my team see my unfinished work if it's in my Personal Folder?

No. Courses in your green Personal Folder are completely private to you. Your team cannot see:

  • Course titles in your Personal Folder

  • Course content or structure

  • That you're working on anything

This gives you complete privacy to build, experiment, and revise before sharing your work.

Q: Can someone else move my course out of my Personal Folder?

No. Only you can move courses in or out of your Personal Folder. Team admins and other team members cannot access your Personal Folder or move your private courses.

Q: What if I accidentally shared a course before moving it?

You can't. The platform prevents this by design - the Share button doesn't appear until the course is in a team space. This protects you from accidentally sharing unfinished work.

Q: Can I collaborate on a course in my Personal Folder?

No. Collaboration requires the course to be in a tan team folder where team members can access it. If you want someone to help with a course:

  1. Move the course to a team folder (it will appear tan)

  2. Your team members can then access and edit it

  3. When finished, you can move it back to your Personal Folder if desired

Q: Does my Personal Folder have a storage limit?

No. You can create and store as many courses as you want in your Personal Folder. The only limits that apply are your overall account limits for total courses created (which applies across all folders).
