Learning Space gives your learners a modern alternative to traditional LMS platforms. Think of it as Netflix for training—personalized, instantly accessible, and actually enjoyable to use. No more complex logins, overwhelming course catalogs, or desktop-only access.

Understanding Learning Space

Learning Space creates a modern, mobile-first learning experience that actually gets used. Unlike traditional LMS platforms that require complex logins, lengthy navigation, and desktop access, learners get instant access to:

  • Everything assigned to them - courses, learning paths, and folders in one view

  • Incomplete training - clearly marked items that need attention, no hunting through catalogs

  • Saved resources - content they've bookmarked for quick reference when they need it most

  • Complete history - every course they've ever taken, ready to revisit without searching course libraries

The best part? Content automatically appears in Learning Space as soon as you assign it. No course enrollment processes, no navigation trees, no desktop dependency—just instant access to the training they need.

Who can access Learning Space

⚠️ Critical requirement: Learning Space is only available to learners you've added through the Learners management section in 7taps. If you're currently sharing courses via public links, Slack, or Teams without managing learners, those users won't have access to Learning Space.

Learner requirements

To access Learning Space, learners need:

  • A profile in your Learners section

  • An email address (phone-only profiles can't access Learning Space)

  • The Learning Space link or access through course end cards

What happens to existing content?

Good news—when you create a learner profile, any courses previously shared with that email or phone number automatically appear in their Learning Space. Nothing gets lost in the transition.

Integration with existing systems

  • SSO support: If Learner SSO is enabled for your tenancy, it automatically works with Learning Space

  • Custom domains: If you've configured a custom domain, it applies to Learning Space URLs

  • Retroactive content: All previously shared courses appear automatically


Activating Learning Space (Admins only)

Only tenancy owners can activate Learning Space. The setup takes three quick steps that you'll complete in your account settings.

Step 1: Choose your identity

  • Pick a name learners will recognize (like "Acme Learning Hub" or just your company name)

  • Decide whether to show your logo (pulls from your Branding settings)

  • Consider what will be clearest for your learners

Step 2: Configure smart access

These settings help learners discover their Learning Space naturally:

End-of-course cards

  • Adds a final card to courses showing incomplete assignments count

  • Provides one-click Learning Space access from any course

  • Helps learners understand they have a central hub for all content

Email integration

  • Includes a "Go to Learning Space" link in course invitation emails

  • Makes Learning Space discoverable without additional communication

  • Appears below the main course access button

Step 3: Review and launch

  • Confirm your settings before activation

  • Understand that settings apply retroactively to existing courses

  • Launch your Learning Space with one click

💡 First-time setup bonus: During initial activation, your settings apply to all existing courses retroactively. Future changes only affect new courses (though creators can override settings for individual courses).

How learners get into Learning Space

First-time access

  1. Share the Learning Space URL with learners (find it in your Learning Space settings)

  2. Learner enters their email address—no username/password to remember

  3. They receive a temporary verification code via email

  4. After verification, they're in—and stay logged in!

This streamlined access eliminates the friction of traditional LMS logins while maintaining security. No more password resets, no more locked accounts, no more IT helpdesk tickets for access issues.

Ongoing access methods

Direct bookmark

  • One URL to remember—not complex LMS navigation paths

Via course end cards

  • Natural progression from learning to library

  • No separate system to learn or navigate

  • Contextual access right when learners finish training

Through email links

  • Integrated into existing communication flow

  • No separate LMS notifications to manage

  • Works in the tools learners already use daily

Authentication and security

  • Temporary codes expire after a short time for security

  • Learners stay logged in for extended periods after initial verification

  • SSO authentication available if configured for your tenancy


Smart access: Making Learning Space discoverable

Smart access features ensure learners find their Learning Space without you sending separate instructions or training.

Learning Space end cards

End cards appear when ALL these conditions are met:

  • The toggle is enabled (globally or for specific course)

  • Course is shared via email or phone number

  • A learner profile exists with matching email/phone

End cards will NOT appear for:

  • Public link sharing

  • Teams/Slack sharing

  • Any sharing method where no matching learner profile exists

Email link inclusion

The "Go to Learning Space" link appears in invitation emails when:

  • The email integration toggle is enabled

  • Course is shared via email channel

  • A learner profile already exists with that email address

If no learner profile exists yet, the email will only include the standard course link.

Managing smart access settings

Global settings (team-wide):

  • Apply to all new courses created after configuration

  • Can be retroactively applied to existing courses during initial setup

  • Set default behavior for your entire team

Course-specific overrides:

  • Individual course creators can override global settings

  • Found in course Sharing Settings under "Smart Access to Learning Space"

  • Useful for specific scenarios where Learning Space access isn't needed


What learners see inside

Learning Space organizes content into three intuitive tabs, eliminating the complex course catalogs and nested menus of traditional LMS platforms. Learners see only what's relevant to them—no overwhelming course libraries or irrelevant content.

To Do tab

Your learner's action list, not a complex enrollment dashboard:

  • Courses started but not finished—with actual progress shown

  • New assignments waiting for attention

  • No hunting through course catalogs or enrollment queues

  • Clear focus on what needs to be done now

Their complete learning library without the LMS complexity:

  • Everything assigned, not everything in your catalog

  • Results appear as you type


Troubleshooting access issues

"My learner can't get in!"

Check these in order:

  1. Learner profile exists: Confirm they're in your Learners section (not just receiving links)

  2. Email address present: Verify their profile includes an email

  3. Correct email: Ensure they're using the exact email from their profile

  4. Verification code: Have them check spam/junk folders

"Content isn't showing up!"

Common causes and solutions:

  • Course was shared before learner profile existed → Content appears once profile is created

  • Course was shared via public link → Only email/phone shared content appears

  • Learning paths not properly assigned → Check assignment in Learners management

  • Courses with sharing turned OFF won't appear in Learning Space, even if assigned to a learner

"The end card or email link is missing!"

Verify these settings:

  • Smart access toggles are enabled (check both global and course settings)

  • Course is shared via email/phone (not public link or Teams/Slack)

  • Learner profile exists with matching contact information

  • For email links, profile must exist before sending the invitation

SSO or custom domain issues

  • Confirm SSO is properly configured at tenancy level

  • Verify custom domain settings are correctly applied

  • Ensure learners are using the correct domain URL

  • Check with your IT team for any network restrictions


Making the most of Learning Space

Before launching

Preparation checklist:

  • Audit your Learners list—ensure everyone has email addresses

  • Plan your announcement communication to learners

  • Consider creating profiles for anyone currently receiving training via public links

  • Set up a test learner to experience the learner view yourself

  • Review your existing courses to understand what learners will see

After launching

Driving adoption:

  • Share the Learning Space URL in your onboarding materials

  • Add it to email signatures or training communications

  • Encourage learners to bookmark it immediately
