Course Review & Feedback: Team Comments and External SME Review

Get feedback on your 7taps courses before sharing with learners. Team members can comment directly in the course editor, while external reviewers access a dedicated review interface. This guide covers both internal collaboration and SME review workflows.

7taps offers two ways to gather targeted feedback on courses during development: Team Commenting for internal collaboration and SME Review for external expert input. Both methods let reviewers leave card-specific comments to help you refine content before it reaches learners.

What is Course Feedback in 7taps?

7taps provides two complementary feedback systems designed for different collaboration scenarios:

Team Commenting - Internal collaboration among people who already have access to your 7taps courses. Team members can leave comments directly in the course editor, making it ideal for real-time collaboration with colleagues.

SME Review - External feedback from subject matter experts, consultants, or stakeholders who don't need 7taps accounts. Reviewers receive email invitations and access a view-only interface where they can comment on specific cards.

Both methods use the same underlying comment system, so all feedback appears together in your Comments panel, organized by card number.

💡 How These Features Work Together

Both Team Commenting and SME Review use the same comment infrastructure. This means:

  • All comments appear together in your Comments panel

  • Team members can see all SME comments

  • You can use both methods simultaneously on the same course

  • All comments are organized by card number regardless of source

  • Receive notifications when new comments are added

⚠️ Important: These features are for gathering feedback during the development process, not for learner delivery. To share courses with learners, use the other sharing methods (link or QR code, email, SCORM, etc.).

Plan availability: SME Review is available on the Enterprise plan. Team Commenting is available to all team members with course access.


Choosing Your Feedback Method

Before requesting feedback, determine which method fits your situation:

Use Team Commenting when:

  • Reviewers are already members of your 7taps team

  • You're collaborating with internal colleagues

  • Reviewers have editing access to courses in your workspace

  • You want real-time collaboration in the course editor

  • You need reviewers to potentially make edits (not just comment)

Use SME Review when:

  • Reviewers don't have 7taps accounts

  • You're working with external consultants or stakeholders

  • You want reviewers to only comment (not edit) the course

  • You need to send review requests to people outside your organization

  • ⚠️ Note: If SSO is enabled, external SME reviewers may not be able to access courses to leave comments

Can I use both at once?

Yes! You can have team members commenting in the editor while external SMEs review via email. All comments appear together in your Comments panel.


Team Commenting: Internal Collaboration

Team Commenting allows anyone on your 7taps team with course access to leave feedback directly in the course editor—no special setup required.

Who Can Use Team Commenting?

Any team member who has access to your courses can:

  • Open the Comments panel in the course editor

  • Leave comments on specific cards

  • Read and respond to comments from other team members and external SMEs

  • Collaborate in real-time

How to Access Team Commenting

From the course editor:

  1. Open any course you have access to

  2. Click the Comments button in the top right corner

  3. The Comments panel opens on the right side of the editor

The Comments panel shows:

  • All existing comments organized by card number

  • Comment author names and timestamps

  • An "Add Comment" button for each card

  • Real-time updates as others add comments

Leaving Comments as a Team Member

To comment on a specific card:

  1. Navigate to the card you want to comment on in the editor

  2. In the Comments panel, find that card's section (organized by card number)

  3. Click + ADD COMMENT at the top of that card's comment section

  4. Type your feedback in the comment box

  5. Click Submit

Your comment appears immediately for all collaborators (both team members and any external SME reviewers).

Alternatively:

  • Scroll through the Comments panel to find any card

  • Click + ADD COMMENT for that card

  • Leave your feedback without navigating to that specific card in the editor

Comment Organization for Team Members

Comments in the editor are organized by:

  • Card number (CARD #1, CARD #2, CARD #5, etc.)

  • Chronologically within each card's section

  • Author (displays team member names or external reviewer emails)

You can:

  • Scroll through all comments at once

  • Jump to specific cards to see their feedback

  • Read comments from both team members and external SMEs in the same view

Notifications for Team Members

Team members receive notifications for:

  • New comments from other team members - Email notification when colleagues add feedback

  • New comments from external SMEs - Email notification when SME reviewers add feedback

  • In-product notifications - Notification badge on the Comments button when new comments are added

Deleting Comments as a Team Member

You can delete your own comments at any time:

  1. Click the three-dot menu next to your comment

  2. Select Delete

  3. Confirm the action

⚠️ Warning: Course creators can delete any comment (including yours). When a comment is deleted, it's permanently removed for all collaborators.

Sending SME Review Requests from the Comments Panel

Team members can invite external reviewers directly from the Comments panel:

  1. Open the Comments panel

  2. Click Request SME review (appears at the top of the panel)

  3. Follow the SME Review setup process (detailed in the next section)

This is a convenient shortcut when you realize you need external feedback while already working in the course editor.


SME Review: External Expert Feedback

SME Review enables you to gather feedback from people who don't have 7taps accounts—external consultants, subject matter experts, or stakeholders outside your organization.

What is SME Review?

SME Review is an email-based collaboration tool specifically designed for external reviewers. Use it when you need:

  • Subject matter experts to verify content accuracy

  • External consultants to review instructional design

  • Stakeholders outside your organization to approve messaging

  • Industry experts to provide specialized feedback

How SME Review Works

The Process Overview:

  1. You send a review request to up to 10 reviewers at a time via email

  2. Reviewers receive an email with a "Start review" button

  3. Reviewers access a split-screen interface showing the course preview and comments panel

  4. Reviewers leave card-specific comments as they progress through the course

  5. You receive notifications when comments are added and reviews are completed

  6. You view and address feedback in your course editor's Comments panel (alongside any team comments)

  7. Multiple reviewers can collaborate, reading and responding to each other's comments

Setting Up a Review Request

Step 1: Access the Share Menu

From your course editor:

  1. Click the Share button

  2. Select Share course to SME for review

Alternatively:

  • Click the Comments button in the top right of any course

  • Click Request SME review at the top of the Comments panel

Step 2: Add Reviewer Email Addresses

In the sharing interface:

  1. Enter or paste reviewer email addresses (one at a time or paste list of 10 emails)

  2. Click Add or press Enter after each address

  3. Add up to 10 email addresses per send

💡 Tip: You can send additional review requests in batches of 10, but for most use cases, gathering feedback from 1-4 reviewers is most effective. Too many reviewers can create conflicting feedback and slow down the revision process.

Step 3: Customize the Email Message

Default settings:

  • Subject line: "You've been invited to share feedback"

  • Message: "You've been asked to look through '[Your Course Title]' and leave any comments you find helpful."

The course title is automatically inserted into the default message, but you can customize both:

  • Subject line: Up to 160 characters

  • Message: Up to 500 characters

Best practice: Use the message to provide context:

  • What type of feedback you're looking for

  • Any specific areas to focus on (accuracy, tone, learner engagement, etc.)

  • Your deadline for feedback

  • Whether this is a first draft or final review

  • Any specific questions you need answered

Example customized message:

"Hi [Name], I'd appreciate your expert review of this compliance training module. Please focus on technical accuracy in cards 5-8 and let me know if the examples feel realistic. I'm aiming to finalize this by Friday, so any feedback by Thursday would be incredibly helpful. Thanks!"

Step 4: Send the Request

  1. Review the preview showing the subject and message

  2. Click Send to [X] reviewer(s)

  3. The system immediately sends the emails and sets your course status to "Under review"

The Reviewer Experience

Accessing the Review:

Reviewers receive an email with:

  • Your customized subject line

  • Your customized message

  • A Start review button (or link)

When they click the button, they access the review interface immediately. No login, no account creation, no password required.

Review Interface:

The review interface features a split-screen layout:

Left side: Course preview

  • Displays the current version of your course

  • Fully functional—reviewers can interact with all cards

  • Quiz/poll/form responses are NOT saved (each review starts fresh)

  • Always shows the most up-to-date content (automatically refreshes if you make edits)

Right side: Comments panel

  • Shows all comments organized by card number

  • Displays comments from all reviewers (both external SMEs and internal team members)

  • Shows comment author (email address for external reviewers, names for team members)

  • Shows timestamp for each comment

  • Includes an "Add Comment" button for each card

  • Shows "Review completed" status when the reviewer marks their review complete

Leaving Comments as an External Reviewer:

Reviewers can comment in two ways:

Method 1: While viewing a card

  1. Navigate to the card in the course preview

  2. At the bottom of the comments panel, find the box labeled "Comment to Card [#]"

  3. Type the comment

  4. Click Submit

  5. The comment appears in that card's section

Method 2: Adding to existing card comments

  1. Scroll through the comments panel to find any card's section

  2. Click + ADD COMMENT at the top of that card's comment section

  3. Type the comment in the activated comment box

  4. Click Submit

Comment organization:

  • All comments are grouped by card number (CARD #1, CARD #5, CARD #10, etc.)

  • Within each card's section, comments appear chronologically

  • Multiple reviewers can comment on the same card

  • Reviewers can read and respond to each other's comments (including comments from your internal team members)

Marking Review as Complete:

When finished reviewing:

  1. Click Complete review (button appears in the comments panel header)

  2. Confirm the action

  3. The interface shows "Review completed" with a checkmark

  4. The course creator receives a notification

Important notes:

  • Completing the review is optional but recommended to signal you're done

  • Reviewers can still return and add more comments after completing

  • The same email link continues to work—no expiration provided that the course remains shared

  • Reviewers can access the link days, weeks, or months later

What Reviewers Cannot Do:

  • Edit the course content

  • Delete others' comments (can only delete their own)

  • Access your 7taps account or other courses

  • See learner data or analytics

  • Change sharing settings

  • See unfinished or invalid cards (they only see completed, valid cards in preview mode)

  • See internal team discussions on invalid cards

  • Complete reviews on mobile devices (desktop/laptop required)

Managing Email Notifications

External SME reviewers can control how they receive notifications about new comments:

To configure notification settings:

  1. Access the review interface via your email link

  2. Look for the notification settings option in the comments panel (or settings menu)

  3. Choose your preference:

    • Receive email for every new comment

    • Receive daily digest of comments

    • Turn off email notifications (you'll still see comments in the interface)

This allows reviewers to stay informed without being overwhelmed by emails, especially on courses with multiple active reviewers.

💡 For course creators: If you're collaborating with your team on draft content using invalid/incomplete cards, those discussions remain private to team members. External SME reviewers only see the polished, valid cards ready for review.

⚠️ Mobile limitation: The SME review interface is only available on desktop/laptop devices. Reviewers accessing the link from mobile devices will not be able to complete the review. Team members can still leave comments on mobile through the course editor.


Managing Comments from All Sources

As a course creator, you manage feedback from both team members and external SME reviewers in one unified interface.

Viewing Comments

In the course editor:

  1. Click the Comments button in the top right of the course

  2. Comments appear organized by card number

  3. Each comment shows:

    • Card number (which card the comment references)

    • Author (team member name or external reviewer email address)

    • Timestamp (when the comment was added)

    • Comment content

Status indicators:

  • While reviews are in progress, you'll see "Under review" status in the course

  • The Comments button shows a notification badge when new comments are added

  • Individual comments show whether they're from team members or external reviewers

Who Can See What?

Team members can:

  • See all comments from both team members and external SMEs

  • Edit courses (if they have editing permissions)

  • Delete their own comments

  • Access the Comments panel directly in the course editor

  • Respond to comments from any source

External SME reviewers can:

  • See all comments from all reviewers (team members and other SMEs)

  • Leave their own comments

  • Mark review as complete

  • Delete their own comments

  • Cannot edit the course

  • Cannot delete others' comments

  • Cannot access your 7taps account

7taps creators can:

  • See all comments from all sources

  • Delete any comment (from team members or external SMEs)

  • Manage review requests

  • Track completion status

  • Edit the course while reviews are in progress

Receiving Notifications

You receive email notifications in several scenarios:

1. When new comments are added

  • Subject: "New comments awaiting your attention"

  • Content: "[X] new comments" with a View comments button

  • Batching: Comments are batched (you won't receive an email for every single comment)

  • Source: Can be from team members or external SME reviewers

2. When an external reviewer completes their review

  • Subject: "Review completed"

  • Content: Confirmation that the reviewer has finished

  • Includes: A Read feedback button

3. In-product notifications

  • The Comments button shows a notification badge when new comments are added

  • Applies to comments from all sources

Deleting Comments

Your own comments: You can delete your own comments at any time:

  1. Click the three-dot menu next to your comment

  2. Select Delete

  3. Confirm the action

Reviewer comments (team members or external SMEs): As the course creator, you can delete any comment:

  1. Click the three-dot menu next to the comment (or the delete option)

  2. Select Delete comments

  3. Confirm the action

⚠️ Warning: When you delete a comment, it's permanently removed for all collaborators—team members, external SME reviewers, and other course creators will all lose access to it. This action cannot be undone.

Making Edits During Review

You can continue editing your course while reviews are in progress:

  • Comments reference specific card numbers

  • The preview pane (for external reviewers) always shows the current version

  • Team members see updates immediately in the editor

  • If external reviewers don't see your latest edits, they can refresh their browser

  • Comments remain attached to their card numbers even after edits

💡 Tip: If you make major structural changes (reordering cards, deleting cards), consider informing your reviewers that comment card numbers may have shifted. For example, if you delete card 3, all comments referencing "card 4" now actually refer to what is now card 3.

⚠️ Important: If you add new cards or make existing invalid cards valid during an active review, external SME reviewers will see these changes when they refresh. However, if you're still working on invalid/draft cards, reviewers won't see these—allowing you to iterate internally while external review is ongoing.


Review Tracking and Management

Track the status of external SME review requests and manage ongoing reviews.

Tracking Review Status

Access the Review requests page from the sharing interface:

Active reviewers section:

  • Shows all reviewers who have opened the review link

  • Displays their completion status:

    • In progress (started reviewing X min ago)

    • "Completed [X] time ago" (marked their review as complete)

💡 Note: Reviewers are considered "active" once they've opened the link, even if they haven't completed the review or left any comments.

Not yet started section:

  • Displays all reviewers invited that have not yet started reviewing by clicking the link in the email invite

Hover tooltip: Hover over the info icon next to "Active reviewers" to see: "Active reviewers are those who have at least opened the link sent to them. SMEs are considered active if they also clicked 'Complete Review'."

Adding More Reviewers

From the Review requests page:

  1. Click Add more reviewers

  2. Enter additional email addresses (up to 10 per batch)

  3. Customize the message if needed

  4. Send the new batch

All reviewers (original and new) can see each other's comments and collaborate—including comments from your internal team members.

Managing Review Requests

Canceling a Review Request:

If you need to cancel an active review request:

  1. Navigate to the Review requests page

  2. Select the reviewer you want to remove

  3. Click Cancel request

  4. Confirm the action

What happens when you cancel:

  • The reviewer loses access to the review interface (their link stops working)

  • All comments they previously added remain visible to team members

  • You can re-invite them later if needed

  • Other active reviewers are unaffected

Resending a Review Request:

If a reviewer marked their review as complete but you need them to review again (for example, after making significant changes):

  1. Navigate to the Review requests page

  2. Find the completed reviewer

  3. Click Resend request

What happens when you resend:

  • The reviewer's status changes from "Completed" to "Started reviewing"

  • They receive a new email notification

  • All their previous comments remain visible (they're not deleted)

  • They can add new comments alongside their original feedback

  • The same review link continues to work

This is useful when you've made substantial revisions based on feedback and want the same expert to verify your changes.

Collaboration Between All Reviewers

All reviewers (team members and external SMEs) can interact with each other's feedback:

  • Read all comments from all sources

  • Add their own comments to any card

  • Respond to specific points raised by others

  • Build on each other's feedback

This creates a collaborative review environment where expertise compounds across your internal team and external experts.


Common Questions & Best Practices

About the Two Features

Q: What's the difference between team commenting and SME Review?

Team commenting is for people already on your 7taps team who have access to your course editor. They can leave comments directly in the Comments panel without needing a review invitation. They can also edit the course if they have permissions.

SME Review is for external reviewers who don't have 7taps accounts. They receive an email invitation and access a view-only review interface where they can comment but not edit.

Both use the same commenting system, so all comments appear together in your Comments panel, organized by card number.

Q: Can team members and external SMEs both review the same course?

Yes! This is actually a powerful feature. You can have:

  • Internal team members commenting in the course editor

  • External SME reviewers commenting via the email review interface

  • All comments visible to everyone (team members and SMEs can see each other's feedback)

  • Collaborative discussions across both groups

Q: If I send an SME review request to someone who's already on my team, what happens?

They'll receive the email invitation and can use the review interface if they prefer. However, it's more efficient for them to simply access the Comments panel directly in the course editor since they already have access.

Q: Can I convert team comments into SME review requests?

No need to convert—they work together. Team members can click "Request SME review" from the Comments panel to invite external reviewers, and all comments will appear together.

Q: Do team members see different notifications than SME reviewers?

Notification content is similar, but:

  • Team members receive notifications for comments from all sources (team and SME)

  • External SME reviewers receive notifications only for comments added to the courses they're reviewing

  • Both receive email notifications for new comments

  • Team members also see in-product notification badges

About SME Review Specifically

Q: Can reviewers edit the course?

No. External SME reviewers can only:

  • View the course preview

  • Leave comments

  • Read other reviewers' comments (from both SMEs and team members)

  • Mark their review as complete

They cannot make any changes to the course content.

Q: Do review links expire?

No. Review links remain active indefinitely provided that the course still exists and is shared. External reviewers can:

  • Return to the link anytime

  • Add more comments after marking their review complete

  • Access the link days, weeks, or months later

The link continues working as long as the course exists in your account.

Q: Can I delete comments later?

Yes. As the course creator, you can delete any comment at any time—whether from team members or external SMEs. However, deletion is permanent and removes the comment for all collaborators.

Individual reviewers (both team members and SMEs) can only delete their own comments.

Q: What happens if I edit the course during review?

The course preview (for external SMEs) and editor view (for team members) always display the most current version of your course:

  • Edits appear immediately for team members

  • External reviewers see updates (may need to refresh their browser)

  • Comments remain tied to their original card numbers

  • If you reorder or delete cards, comment card numbers may no longer align perfectly

Q: Can multiple people review at the same time?

Yes! This is one of the strengths of the system:

  • Multiple external SME reviewers can access the course simultaneously

  • Team members can comment in the editor at the same time

  • Everyone can see each other's comments in real-time

  • Comments appear as they're submitted

  • Reviewers can build on each other's feedback

Q: How many reviewers should I invite?

While you can invite up to 10 external SME reviewers per batch (plus unlimited team member reviewers), 2-4 total reviewers typically provides:

  • Enough diverse perspectives

  • Manageable amounts of feedback

  • Less potential for conflicting suggestions

  • Faster review completion

Too many reviewers can lead to contradictory feedback and decision paralysis.

Q: Should I customize the email message?

Yes! Providing context helps reviewers give better feedback. Consider including:

  • What stage the course is in (first draft, final review, etc.)

  • Specific areas you want feedback on (accuracy, tone, engagement, specific cards, etc.)

  • Your deadline for feedback

  • Whether you want detailed or high-level comments

  • Any specific questions you need answered

  • Whether they should focus on content accuracy vs. instructional design

Q: Can I use SME Review to share with learners?

No. SME Review is specifically designed for internal feedback and collaboration during the development process. To share courses with learners, use:

  • Share via Link & QR

  • Share via Email

  • Share via Slack

  • Share via Teams

  • Share via SMS or WhatsApp

  • SCORM export to your LMS

  • Learning Paths for scheduled delivery

Q: What if a reviewer hasn't responded?

Check the Review requests page to see if they've:

  • Opened the link (appears as "active reviewer")

  • Left any comments (visible in your Comments panel)

  • Marked the review as complete

If they haven't opened the link, you can:

  • Send a reminder directly (7taps doesn't have an automated reminder feature)

  • Add them to a new batch if needed

  • Follow up through your usual communication channels

Q: Can team members use SME Review to get feedback from external reviewers?

Yes! Team members can see comments from both internal team members and external SME reviewers in the same Comments panel. They can also click "Request SME review" from the Comments panel to send review invitations to people outside the team.

Q: What should I do if I want to leave feedback on the course as a whole, not on a specific card?

Since feedback is tied to individual cards, course-level feedback can be left on either:

  • The first card (for initial impressions, overall strategy, or structural feedback)

  • The last card (for concluding thoughts, overall assessment, or final recommendations)

Make it clear in your comment that you're addressing the entire course.

Q: Can I send an entire Learning Path for review?

No. Reviews operate at the course level, so each course within a Learning Path would need to be shared individually with your SME reviewers. However, you can:

  • Send multiple review requests (one per course)

  • Include context in your email message about how the course fits into the larger Learning Path

  • Ask reviewers to consider the sequence when reviewing individual courses

Q: What happens to quiz/poll/form responses during SME review?

Responses from SME reviewers are not saved. Each time a reviewer accesses the review interface, they start with a clean slate. This ensures:

  • Review feedback stays separate from learner data

  • Reviewers can test interactive elements multiple times

  • No confusion between review data and actual learner responses

Q: If SSO is enabled for my organization, can external SMEs still review courses?

No. If SSO is enabled, external reviewers outside your organization won't be able to access the review interface. In this case, you'll need to:

  • Use team commenting with internal team members who have SSO access

  • Temporarily share the course via other methods (though this doesn't provide the commenting interface)

  • Work with your IT team to understand SSO exceptions if external review is critical


Best Practices

For course creators:

Provide clear context - Customize your review request email with specific guidance on what kind of feedback you need

Set deadlines - Include your timeline in the review request message to encourage timely feedback

Start with team members - Get quick internal feedback from team members first, then invite external SMEs for specialized review

Use both methods strategically - Team members for quick iterations, external SMEs for expert validation

Respond to comments - Acknowledge feedback and let reviewers know how you're addressing their suggestions

Track review status - Check the Review requests page periodically to see who's engaged with the content

For providing feedback:

Be specific - "This example isn't realistic" is more helpful than "I don't like this"

Reference card numbers - Helps everyone find the content you're discussing

Explain your reasoning - "This terminology might confuse new hires because..." provides context for your feedback

Build on others' comments - If you agree with another reviewer, say so and add your perspective

Mark review as complete - This signals to the course creator that you're done (even though you can return later)

For managing feedback:

Review comments as they come in - Don't wait until all reviewers finish; address clear issues immediately

Group similar feedback - If multiple reviewers raise the same concern, prioritize addressing it

Clarify conflicting feedback - If reviewers disagree, follow up with them to understand their perspectives

Thank your reviewers - Acknowledge their time and expertise (even if you don't implement every suggestion)
