Sharing Courses via Email: Complete Guide

Share your 7taps courses directly to learners' inboxes with customizable messages and automated reminders. This guide covers everything you need to know about email distribution, from adding recipients to tracking engagement.

Overview

Email sharing allows you to send 7taps courses directly to your learners' inboxes. Learners receive a branded email with a one-click link to start the course—no login required, no app to download.

⭐ Email sharing is available on paid plans.

By default, emails are sent from noreply@microlearning.7taps.com. Enterprise customers can set up a custom email domain to send from their own company address (like training@yourcompany.com).

What You Can Do with Email Sharing

  • Send courses directly to recipients from your Learner Management list

  • Customize the email subject line and message

  • Schedule one automatic reminder for learners who haven't opened or completed the course

  • Track which learners opened and completed via email


How to Share via Email

Step 1: Open the Share Menu

  1. Open your course in the editor

  2. Click the Share button (green button in the top right)

  3. Select Email from the sharing options

Step 2: Select Your Learners

The sharing window opens your Learner Management list. Switch to the Groups tab to share with a whole team or several groups at once — you can see how many people are in each group before sending. Switch to the People tab to select individuals by name or search. If anyone in a group is missing an email address, the window flags it before you confirm.

For ad hoc sends, go to Learners → Add learners → Manual import → Paste contacts. Paste a list of emails — valid contacts will be counted and ready to add, invalid ones flagged separately. Pasted contacts become a group in your Learner Management named with the date and time. You can rename it, reuse it for future sends, or complete their profiles over time. Nothing in your existing learner data is overwritten.

This sharing flow currently applies only to course-level sharing. Learning Paths sharing will adopt the same flow later on.

Step 3: Write Your Sharing Message

The message field opens empty — write something specific to this course and audience. A message that speaks directly to why this training matters right now gets far better open rates than a generic one. If you'd prefer to keep it quick, click Use default message.

You can edit:

  • Subject line: The email subject your learners will see

  • Message body: The text that appears in the email (500 character limit)

The course link button is automatically included — you don't need to add it manually.

Step 4: Set Up a Reminder (Optional)

Reminders help increase engagement by following up with learners who haven't opened or completed the course yet.

  1. Check the Send reminder in X days box

  2. Click Edit to choose when the reminder should be sent (1-15 days after the initial email)

  3. Customize the reminder subject line and message if desired

Important: The reminder is only sent to learners who haven't opened the course link. Learners who clicked the link (even if they didn't complete the course) won't receive the reminder.

Reminders are dispatched on a 30-minute cycle, at :00 and :30 each hour.

Only one reminder per learner per course can be sent within a 24-hour period.

Step 5: Send the Course

  1. Review the number of recipients shown at the bottom of the screen

  2. Click Send to learners

  3. Wait for the confirmation message: "Your course is being sent to [X] recipient"

⚠️ Note: There is a limit of 10,000 recipients per send. If you need to reach more learners, split your list into multiple sends or export as SCORM and deploy through your LMS.


What Learners Receive

When you share a course via email, learners receive a professionally formatted email that includes:

  • Subject line: Your custom subject (or the default "New microlearning for you: [Course Title]")

  • Course title: Clearly displayed at the top of the email

  • Your message: The custom text you wrote (or the default message)

  • "Open" button: One-click access to start the course

  • Sender: Shown as "7taps Microlearning" or your Team name if configured

  • Reply-to-address: The email or user that sent the email

Learners can click the Open button from any device—desktop, tablet, or mobile—and immediately start the course. No login or app installation required.


Email Delivery & Filtering

Corporate Email Filters

Some corporate email systems may filter or block emails from 7taps. If your learners report not receiving course emails, there are two solutions:

Solution 1: Set Up a Custom Email Domain (Enterprise only) Configure 7taps to send emails from your company's domain instead of 7taps.com. This often bypasses corporate filters since the email comes from a trusted internal domain. Learn how to set up a custom email domain.

Solution 2: Whitelist the 7taps Domain Work with your IT department to add noreply@microlearning.7taps.com and the 7taps.com domain to your email provider's allowlist. Service messages like verification codes and reset password messages are sent from support@7taps.com and noreply@7taps.com.

Checking Email Delivery

If learners don't receive emails:

  1. Check their spam/junk folders

  2. Verify the email address was entered correctly in 7taps

  3. Confirm with IT that 7taps emails aren't being blocked at the server level


Tracking Email Engagement

7taps provides detailed analytics for courses shared via email.

View Email-Specific Data

  1. Open your course and go to the Analytics tab

  2. Click the Learners sub-tab

  3. Use the Channel filter dropdown

  4. Select Email to see only learners who received the course via email

What You Can Track

For each email recipient, you can see:

  • Status: Whether they completed the course or not

  • Time spent: How long they spent engaging with the content

  • Score: Their performance on quizzes (if applicable)

  • Last activity: When they last interacted with the course

Sending Reminders from Analytics

If learners haven't opened the course yet, you'll see a Remind button next to their name. Click it to manually send a follow-up email. You can also manually send reminders to everyone who has not opened the link from the Highlights tab of the course Analytics.

If some people in your list already have a reminder queued for this course, they're shown before you confirm. The send button counts only those who haven't been reminded yet, so you won't double-up accidentally.

After you send, a confirmation tells you the reminder is on its way and will arrive within 15 minutes — no need to re-send to check.


Common Questions

Q: Is there a limit to how many people I can email at once?

Yes. There's a limit of 10,000 recipients per send. If you need to reach more than 10,000 learners, you can either split your recipient list into multiple sends, or export as SCORM and deploy through your LMS for organization-wide rollouts.

Q: Can I schedule emails to be sent later?

Emails are sent immediately when you click "Send to learners." If you need to schedule a single course for future deployment, use a Learning Path with single course and schedule for later.

Q: What if I make a mistake in the email or want to update the course?

You cannot edit or recall an email after it's sent. However, if you update the course content, learners who click the link will always see the most current version. The email link remains active and reflects any changes you make.

Q: Can I revoke access for one person after sending the course?

Yes. All learners are visible in Learner Management — including those added via paste or CSV without a full profile. To revoke access: go to Learners, locate the person, click the three-dot menu next to their name, find the course you want to remove, and revoke it.

Q: How many reminders can I send?

You can set up one automatic reminder per email send. The reminder only goes to learners who haven't opened or completed the course. If you need to send additional follow-ups, you can manually use the Remind button in the Analytics section.

Q: Do reminders go to everyone?

No. Reminders are only sent to learners who haven't opened the course.

Q: Can I see who opened the email vs. who completed the course?

Yes. In the Analytics > Learners tab, filter by Email channel. The Status column shows "Completed ✓" for learners who finished, and no status for those who haven't started or are still in progress.

Q: Why don't my emails show a custom company sender?

By default, emails come from noreply@microlearning.7taps.com. To send from your own company domain, you need the Enterprise plan and must configure a custom email domain. Learn more about custom email setup

Q: Can I reuse a group I've sent to before?

Yes — any group you've used before is in your Learner Management. Pick it from the Groups tab next time you share.

Q: Is sharing via email secure?

Yes. When you share a 7taps training via email, you are sending the link directly to the intended recipient's inbox through standard email delivery protocols. Email is delivered to a specific address (not publicly broadcast), and most modern email providers apply strong security measures like encrypted transport (TLS), spam and phishing protection, and account-level security (passwords, MFA). Combined with the security of 7taps links themselves, this makes email sharing a secure distribution method.

Every 7taps link contains a randomly generated identifier (e.g. aEy4AsR5jAFr7). With 13 characters drawn from a pool of letters and digits, this creates over 200 sextillion possible combinations (that's a number with 23 zeros). These identifiers are not sequential or predictable - guessing a valid link is roughly as likely as picking one specific grain of sand from every beach on Earth combined. Your content is not indexed by search engines or listed in any public directory, so there is no way to discover, guess, or brute-force a link to your content.

That said, a link is still a link. If a learner shares it with someone else, that person will be able to open it. To prevent this, enable SSO authentication for your content - this way only authorized users within your organization will be able to access it.
