Workspaces in 7taps: Manage Multiple Teams Across Your Organization

Isolate content by team, function, or region with unified integrations and centralized admin control.

A workspace is a separate content room within your team account. Your team account is your organization's 7taps space—one account, one owner, one set of integrations.

If your organization has multiple teams, departments, or functions working on different content, workspaces let you create separate spaces for each while keeping everything under one unified account.

One team member can be part of multiple workspaces with different access levels in each. An Editor in one workspace can be View-only in another. The team owner controls who goes where and what they can do.

How to request a workspace

Workspaces are not self-serve. To request one, click Help at the bottom right when in 7taps and message us in the chat, or email support@7taps.com.

In your message, tell us:

  • The name of the new workspace

  • Who needs access to it

  • What roles they should have (Editor or View-only)

If you're not the team owner, support will check with your admin before creating it. If you're the team owner, support will verify your subscription includes room for an additional workspace and set it up.

When to use workspaces

Create separate spaces when different teams need their own content libraries while staying under one account:

  • Internal training and partner training: One team handles onboarding for employees, another manages partner enablement. Same team account, separate workspaces.

  • Regional teams: Different regions create localized training. Each region gets its own workspace.

  • Function-based teams: HR training, sales training, and operations training each have their own workspace.

  • Multiple departments: Finance, marketing, and support teams all create their own courses in separate workspaces without seeing each other's work.

Workspaces let teams stay separate without the overhead of managing multiple team accounts.

Understanding team account vs. workspace

Team account = Your organization's 7taps space. One team account per organization. One owner. One set of integrations. Rare cases: some organizations have more than one team account (see FAQ below).

Workspace = A content room within your team account. Multiple workspaces can exist in one team account. Courses, folders, learning paths, and comments are isolated per workspace. Team members are not—the same team member can be in multiple workspaces.

Most organizations have one team account with one or more workspaces.

One team member can be an Editor in Workspace A and View-only in Workspace B. Access and roles are independent per workspace.

The owner cannot be removed from any workspace and always has access to all workspaces in the team account. If you need to change who the owner is, contact support@7taps.com

What's isolated vs. what's shared

Isolated per workspace:

  • Courses, folders, learning paths, and all content

  • Comments and collaboration on that content

  • Analytics dashboard for that workspace

  • Personal folders (for people with Editor access)

Shared across all workspaces in your team account:

  • Custom domain, branding, company logo

  • Integrations (SSO, HRIS sync, Slack, Teams, custom email, Learning Space settings, xAPI)

  • Learners

  • Usage limits (courses, learning paths, email sends, SMS, WhatsApp, AI credits, etc.)

  • Licenses: one per team member, regardless of how many workspaces they're in

This means: branding and integrations are configured once, at the team account level, and apply to all workspaces. Content stays separate per workspace.

Personal folders in workspaces

Personal folders appear in each workspace where you have Editor access. If you're View-only in a workspace, you won't have a personal folder there.

Personal content (courses you create in your personal folder) only appears in the workspace where you created it. It doesn't show up in other workspaces, even if you're a member of them.

Starting a new workspace with fresh content

When a new workspace is created, it starts empty. Your existing courses and content stay in the original workspace. Nothing is auto-copied.

What learners see (nothing different)

Learners don't see workspaces at all. If they're assigned a course from Workspace A and another from Workspace B, they simply receive both courses. Workspace separation is only for creators and admins.

FAQ: When do I need multiple team accounts?

Q: When would my organization need more than one team account instead of workspaces?

A: Only when different parts of your organization need different integration settings. For example:

  • One team needs SSO enabled (for internal employees), another needs SSO disabled (for external partners)

  • One team needs a custom email domain, another doesn't

  • One team uses HRIS sync, another doesn't

In these cases, you need separate team accounts. Workspaces won't work because all workspaces in one team account share the same integrations and settings.

Q: What happens to my personal courses if I'm removed from a workspace?

A: Your personal courses are reassigned to the owner and stay in that workspace. If you're removed from all workspaces, you leave the team account entirely.

Q: How do I collaborate on courses across workspaces?

A: If you need to edit courses in another workspace, the owner must give you Editor access there. If you only need to review and provide feedback, ask for View-only access and the creator can share a link. Learn more about what each role can do.


Most organizations with multiple teams should use one team account with multiple workspaces. This is simpler to manage and gives you unified admin control.
