How to import learners from your HRIS

Sync 7taps with your Human Resources Information System.

7taps aims to save you time on creating and distributing learning content, so we made Learner Management extremely easy.

You can upload your learners via a .csv file, or simply sync 7taps with your Human Resource Management Software or Information System (HRMS/HRIS). This integration will keep your learner list up-to-date with a daily sync — you won't need to manage anything manually.

To facilitate seamless communication with HRIS systems, 7taps uses a third-party API service that acts as a bridge between HRIS and our platform. To set this up, you only need a colleague with HRIS admin rights to log in to 7taps and authorize the connection.

  1. Go to the Learners Tab. Click Import, then Sync with HRMS.

  2. Select the type of HRIS that you use in your organization from the list.

  3. You will be asked to authorize the connection to the HRIS and 7taps. This should take about 20 seconds.


    Once connected, it will take a few hours to sync users. Once the initial sync is complete, you will see all learners in 7taps.

Controlling who gets imported

Before confirming any import, you see a preview of exactly what will change: new learners being added, updates to existing records, removals, and anyone excluded by your filters.

You can filter who gets synced from your HR system into 7taps. Available filters:

  • Employment status

  • Required contact fields (e.g. must have an email or phone number)

  • Start date

  • Specific groups, locations, or teams

Filters can be combined. Once you import with a set of filters, those rules save automatically and apply to every daily sync — no need to reconfigure each time.

We do not gain access to or import any learner data besides Name, Email, Phone, Location, and Team (if assigned). You can find more info on data security here.

💡 Supplementing HRMS data with additional groups

If your HR system doesn't capture all the learner segments you need for your training programs — for example, a project team, a cohort, or a location-specific group — you can upload a CSV with the learner's unique ID and any additional group names. When the daily sync runs, data from your HRMS refreshes as usual, but the extra groups you've added via CSV stay in place.
