How to import learners from a .csv file
How to import learners from a .csv file

You can import data to Learner Management only via a CSV file.

CSV is a delimited text file that uses a comma to separate values. You can save any .xls table as a .csv file.

Any CSV file that you’d like to upload to 7taps may contain up to 10,000 rows and up to 20 columns. The file can be uploaded only if all the required fields have values.

Upload the data in 2 simple steps:

  1. Download the CSV template here. It's a must - custom files are not supported.

  2. Do not change the names of the columns in the template. Use the following info about the columns to fill in the table:

ID

ID is a unique parameter that allows 7taps to identify and update learners with every new CSV upload. If you would like to be able to update your Learner list later, you need to fill in this column. ID can be anything - a number, a unique code, or an email.

If you don’t assign IDs to Learners, every new CSV upload will be adding new entries instead of updating the existing data in 7taps.

Pro tip: You can match IDs in 7taps with IDs in your internal system (HRMS etc.)

First Name. Required field.

We recommend starting names with a capital letter to have your data look neat and correctly displayed when addressing learners in your 7taps content.

Last Name. Required field.

We recommend starting names with a capital letter to have your data look neat and correctly displayed when addressing learners in your 7taps content.

Email. Required if no phone is provided.

Please make sure that this field contains only emails. All the email addresses should be correct and valid to avoid hard bounces that would affect your content delivery.

Phone. Required if no email is provided.

The fields may contain special characters. We recommend using the same format for all phone numbers to keep your data neat.

Location

You can use any format you prefer - text data and/or numbers.

Please note: If the comma is a part of the value, the whole value should be enclosed in brackets. E.g.: if the value is USA, Florida - it should be “USA, Florida” in your CSV file.

Team

You can use any format you prefer - text data and/or numbers.

Please note: If the comma is a part of the value, the whole value should be enclosed in brackets. E.g.: if the value is Marketing, Remote team - it should be “Marketing, Remote team” in your CSV file.

Group

The file can include multiple Group columns as long as the total number of columns in the table does not exceed 20.

You don’t need to change the titles of Group columns in your file - only to add values to those columns. One learner can be assigned to multiple groups. A learner will be assigned to a group only if there’s a value in a Group column.

E.g.: If you’re adding two learners where the first one is assigned to Group A and Group B, and the second one is assigned to Group A and Group C - your 7taps database will register 2 learners (that both belong to Group A) and three Groups.

Please note: If the comma is a part of the value, the whole value should be enclosed in brackets. E.g.: if the value is Employee of the Year, 2022 - it should be “Employee of the Year, 2022” in your CSV file.
