Sharing Limitations and How to Manage Them

The 2-Course Sharing Limit

With Free Edition, only 2 courses can be actively shared at any time. This means:

  • Any existing share links beyond your last 2 courses shared will stop working

  • Learners clicking on deactivated links will see an error message

  • Learning Paths cannot be delivered

  • QR codes and embedded links to non-active courses won't function

Choosing Which Courses to Keep Active

Strategic Questions to Ask:

  1. Which courses are currently being used by learners?

  2. Which courses support your most critical business needs?

  3. Which courses are part of active campaigns or onboarding?

  4. Which courses have upcoming scheduled deliveries?

Recommended Approach:

Step 1: Review Your Analytics Check which courses have recent activity and high engagement. Prioritize courses that learners are actively using.

Step 2: Prioritize by Business Impact Focus on courses that:

  • Support time-sensitive training needs

  • Are part of compliance or mandatory requirements

  • Serve your largest learner audience

  • Drive measurable business outcomes

Step 3: Manage the Transition Before your subscription expires:

  1. Export analytics or take screenshots of important data

  2. Notify learners if courses will become unavailable

  3. Consider consolidating content from multiple courses into your top 2

  4. Download any completion data you need for records

Step 4: Unshare Courses You Won't Keep Active Go to each course you won't actively share and:

  1. Click the sharing settings

  2. Remove or deactivate the share link

  3. Save the course content (it remains in your library)

What Happens to Learning Paths

If you have Learning Paths configured:

  • Previously sent course links may still work if those specific courses are within your 2 active slots

  • Scheduled deliveries for courses won't send

  • Learning Path analytics will not be available

Your Data and Course Content

Complete Data Retention

Everything is saved:

  • All courses you've created remain in your account

  • Course structure, content, and settings are preserved

  • Historical analytics data stays accessible

  • All course edits and versions are maintained

You can always:

  • View and edit any course

  • Duplicate courses for later use

  • Export course content for backup

  • Switch which 2 courses are actively shared

No Data Loss

Even if you don't reactivate your subscription for months, your courses and data remain secure in your account. There's no timeline for data deletion on inactive Free Edition accounts.

Frequently Asked Questions

Will my learners lose access to courses they're currently taking?

If those courses are beyond your 2 active slots, yes. Learners clicking share links to inactive courses will see an error. However, if you keep those courses as your active 2, learners can continue without interruption.

Can I rotate which 2 courses are active?

Yes, but with limitations. You can change which courses are shared, but this creates new share links. Previously distributed links to deactivated courses will stop working.

What happens to courses in progress when my subscription ends?

Learner progress is stored on their device. If the course becomes inactive (beyond your 2 slots), they won't be able to resume. If you reactivate that course as one of your 2 active slots or upgrade your subscription, they can continue from where they left off.

Can I still use 7taps Copilot with Free Edition?

Copilot availability depends on your plan tier. Check the Free Edition features article for current AI feature access.

Will I lose custom branding or themes?

Custom branding and themes typically require paid plans. When reverting to Free Edition, courses may display default 7taps branding. Your custom settings remain saved and will restore if you upgrade again.

How long do I have to decide which 2 courses to keep active?

Your account transitions immediately when your subscription ends. It's best to decide before expiration to avoid learner disruption. However, you can change your 2 active courses at any time.

Can I export my courses to use elsewhere?

PDF exports are available for internal review purposes only. The 7taps platform is where your courses live and function. Exporting for use in other platforms isn't supported.

What if I need more than 2 courses shared but can't afford a full subscription right now?

Contact our team to discuss your situation. We may be able to work out a temporary solution or suggest alternative approaches like consolidating content.
