If your HR system doesn't connect to 7taps directly, or your security team prefers file transfers, you can keep your people up to date with a nightly CSV file sent over SFTP. Your HR or IT team schedules the export once, and 7taps picks up the latest file every night.
SFTP import is available on the Enterprise plan.
Before you start
You need someone who can schedule a daily export from your HR system or file server, usually an HR systems admin or your IT team. The file goes to a secure SFTP server run by Merge, our HR integration partner, and 7taps reads it from there. 7taps only reads the file. Nothing is written back to your systems.
Set up the connection
Go to the Learners tab, click Add learners, then Sync with HRMS.
Select Generic SFTP from the list.
Follow the connection flow. It gives you the SFTP connection details for your Team.
Use those details to schedule a daily export of your file to the SFTP server.
When the first file arrives, you see a preview before anyone is imported. After that, 7taps checks for a new file every night.
Using Workday or SAP SuccessFactors
If your HR system is Workday or SAP SuccessFactors, choose Workday or SuccessFactors from the list instead of Generic SFTP, and follow the steps in that connection flow.
Prepare your file
Save it as a .csv file named HRIS.csv.
Give every person a unique value in the employee_id column, such as their ID in your HR system or their work email.
Include everyone you want in 7taps in every file, not only the changes. Each file is treated as your complete list.
Use the column names exactly as listed below.
Required columns
employee_id, first_name, last_name, work_email, mobile_phone_number
Optional columns
Person: preferred_name, personal_email, employee_number, manager_id, start_date, termination_date, employment_status. We recommend including employment_status, so people marked as terminated are deactivated in 7taps.
Job title: employment_id and job_title.
Location: location_id, name, location_type, street_1, street_2, city, state, zip_code, country.
Groups or teams: group_id, group_name, group_type, parent_group.
Leave these out
Don't send pay, compensation, benefits, time off, payroll, social security numbers, gender, ethnicity or marital status. 7taps doesn't use them, so leave those columns out of your export entirely.
For the full list of fields 7taps reads, see The common model used when syncing HRIS to 7taps.
How the nightly sync works
The SFTP sync works like any other HRMS sync in 7taps. Before an import, the preview shows who is new, who is being updated, who is being removed, and anyone your filters skip. You can filter by employment status, required contact fields, start date, and groups, locations or teams. Your filters save and apply to every nightly sync.
If someone is missing from the latest file, or their employment_status is terminated, 7taps deactivates them.
For more on filters and previews, see How to import learners from your HRIS.
If your file isn't picked up
Check that the file is a .csv and is named exactly HRIS.csv.
Check that every row has an employee_id.
Check that no cells are merged across rows.
