Connecting your HR system to 7taps

Keep your people list in 7taps up to date automatically with a daily sync from your HR system.

Connect your HR system once, and 7taps keeps your people list up to date every day. New hires appear, changes to teams and locations carry over, and people who leave are removed, without anyone editing a spreadsheet.

7taps connects to your HR system through Merge, our HR integration partner. 7taps only reads data. Nothing is ever written back to your HR system.

Before you start

Who you need. Usually, someone with admin access to your HR system completes the connection. A 7taps admin can do it too if they have the right access in your HR system. Your organization decides who that is. If it's two different people, plan a short call together, or have the HR admin gather the connection details first.

What to have ready. Each HR system asks for different details. Some only need an admin to sign in and approve access. Others need an API key, a service account, or a company or tenant ID created in advance. Check the guide for your system before you start:

  • Workday: connect by signing in with OAuth, with an integration system user, or with a nightly file sent over SFTP. See Merge's guides for OAuth, the integration system user, and the permissions Workday needs. 7taps doesn't read pay, benefits or time off, so you can leave out the compensation, payroll, benefits and time off permissions.

  • Dayforce: Merge's Dayforce guide. 7taps only reads data, so skip the optional steps for write access. You can also leave out access to pay, social security number, gender, marital status and date of birth.

  • Microsoft Entra ID: Merge's Entra ID guide

  • Paycor: Merge's Paycor guide. An HR, Payroll or Company admin needs to set up an App Creator account in Paycor's Developer Portal first. Each connection covers one Paycor company ID.

  • Okta: Merge's Okta guide. Create the API token from a service account, because the token has the same permissions as the person who creates it.

  • Any other system: Merge's HR system guides have step-by-step instructions for each one.

Where your HR system asks for a login, use a dedicated service account rather than a person's own login. The connection then keeps working when someone changes roles or leaves.

How long it takes. Connecting takes a few minutes once you have the details ready. The first sync then takes a few hours.

If your HR system isn't listed, or your security team prefers file transfers, you can send a nightly CSV file instead. Workday and SuccessFactors customers choose their own system in the list rather than Generic SFTP. See How to import learners over SFTP.

Connect your HR system

  1. In 7taps, open the Learners tab.

  2. Click Add learners, then Sync with HRMS.

  3. Choose your HR system from the list.

  4. Follow the connection steps. Depending on your system, you either sign in and approve access, or enter the details from the guide for your system.

  5. Review what 7taps will read, then confirm.

  6. Wait for the first sync. It takes a few hours, and you'll see a preview before anyone is imported.

Choose who gets imported

Before anyone is imported, 7taps shows a preview of exactly what will change: who is new, who is being updated, who is being removed, and who your filters skip.

You can filter by:

  • Employment status, for example active employees only

  • Contact details, for example only people with an email or a mobile number

  • Start date

  • Specific groups, locations or teams

Filters can be combined. Once you import with a set of filters, 7taps saves them and applies them to every daily sync, so you set them once.

After the first sync, you can change who is included at any time with the Review HR Sync option.

A contact-details filter is worth setting if you plan to send training by email or text. People without either can't receive it, so filtering them out keeps your lists and analytics clean.

After setup

Daily sync. For most HR systems, 7taps syncs once every 24 hours using your saved filters. You don't need to do anything.

When someone leaves. When a person is marked terminated, is no longer in your HR system, or no longer matches your filters, 7taps deactivates them at the next sync. Their learning history is kept. If they come back in a later sync and match your filters, 7taps restores the same profile, with their history.

Groups your HR system doesn't have. If you need groups your HR system doesn't track, such as a project team, a cohort or a pilot group, upload a CSV with each person's unique ID and the extra group names. The daily sync refreshes everything else as usual, and the groups you added stay in place.

Disconnecting. Go to Account, then Integrations, and disconnect the HR sync there. When you disconnect, people imported from your HR system are deactivated, and their learning history is kept. If you reconnect later, anyone who comes back in a sync and matches your filters is restored with their history.

What data 7taps reads

7taps reads a limited set of employee data from your HR system: names, work and personal email, mobile phone, job title, start and termination dates, employment status, manager, groups, and work location. We use this to keep your people list current, place people in the right groups and locations, and remove people who leave.

7taps never reads date of birth, home address, pay, benefits, bank details, social security numbers, gender, ethnicity or marital status. Nothing is written back to your HR system.

Troubleshooting

  • The connection won't complete. Usually a detail was entered wrong, such as the tenant, hostname or company ID, or the account used doesn't have admin access. Check each detail against the guide for your system, and confirm the account has the access it describes.

  • People come through with empty fields. The account used for the connection can't read those fields. Give it read access to the employee details listed in the guide for your system.

  • Someone is missing. Your filters skipped them, or they have no email or phone and a contact filter is on. Check the skipped list in the preview, and their record in your HR system.

  • New hires stop appearing, or changes stop coming through. The service account's password may have expired, its permissions may have changed, or it may have been deactivated. Restore the account, then reconnect from Account, then Integrations.

  • Changes don't show up yet. The sync runs once a day, so check again after the next daily sync.
