Sharing via Slack: Setup, Delivery, and Tracking

When you share a 7taps course via Slack, learners receive it as a private message from the 7taps app, right where they're already working. There are no LMS logins, no lost links, and no friction for your learners.

Why share via Slack?

Most training gets built. Very little gets used. One of the biggest reasons is friction. Learners have to leave their workflow, log into a platform, and hunt for the content. Slack sharing removes all of that.

When you share via Slack, your course lands directly in each learner's Slack DMs as a private message from the 7taps app. One tap on Open and they're in the course. There's no login, no install, no extra steps. Because it arrives in the same place they're already checking throughout the day, completion rates are significantly higher than LMS-based delivery.

It also means you can see exactly who opened the course, who hasn't, and send targeted reminders, all from within 7taps.

NOTE: Slack sharing is available on the 7taps Enterprise plan.


How to connect Slack to 7taps

⚠️ Only the team owner of your 7taps account can connect the Slack integration. Once connected, any team member can share content via Slack.

Connecting for the first time

  1. Open any course in 7taps and click Share.

  2. Select Slack.

  3. Click Connect Slack and follow the prompts to authorize the integration with your Slack workspace.

Once connected, your public Slack channels and workspace members will be available to select when sharing.

If you don't have Slack admin rights

If you don't have the admin rights needed to connect 7taps to your Slack workspace, 7taps will automatically send a connection request to your Slack Workspace Admin. Once they approve it, return to 7taps and click Connect Slack again to complete the setup.

NOTE: If your request is still pending, reach out directly to your Slack Workspace Admin to follow up.

Adding the 7taps app to private Slack channels

By default, only your public Slack channels are visible in 7taps. To share content with members of a private channel, you first need to add the 7taps app to that channel.

There are two ways to do this:

  1. Use a Slack command. In the private channel, type: /invite @7taps
    To remove the app from that channel later: /remove @7taps

  2. Add directly via the 7taps Slack app. In Slack, scroll down to Apps in the left sidebar and find 7taps.

Right-click on 7taps and select View app details.

Click Add this app to a channel and select the private channel you want to make available in 7taps.

Once added, the private channel will become visible to all team members in your 7taps workspace within 24 hours.

Other 7taps editors don't need to be members of the private channel themselves. When they share content, it's delivered as a private message to each person in the channel, not posted to the channel itself.

How to share content via Slack

Once Slack is connected, sharing is straightforward:

  1. Open your course and click Share.

  2. Select Slack.

  3. Choose who to send to. You can select individual workspace members or pick from your public or private channels.

  4. Write your sharing message (see the next section for tips on making it count).

  5. Optionally configure a reminder for learners who don't open the course.

  6. Click Share.

Each recipient receives a private message from the 7taps app in Slack with an Open button that takes them directly into the course.


Custom sharing messages

The message learners see in Slack before they click Open is your first impression and it directly affects whether they engage with the course at all. Don't leave it as the default.

Tips for writing an effective sharing message:

  • Lead with relevance, not formality. Tell learners why this matters to them right now, not that they've been "assigned training."

  • Keep it short. Two sentences is enough. Learners scan Slack, they won't read a paragraph.

  • Create curiosity or urgency. A message that makes someone think "I need to know this" will always outperform one that says "Please complete the following."

  • Speak in your team's voice. Slack is an informal channel. Your message should feel like it comes from a colleague, not a system.

  • Avoid vague subject lines. "New training available" tells learners nothing. Name the specific skill or situation the course addresses.


Reminders

Not everyone opens a course the moment it lands in their Slack. Reminders let you follow up with learners who haven't engaged yet, automatically or manually.

Automatic reminders

When sharing a course, you can set an automatic reminder to be sent to any learner who hasn't opened the course after a set number of days. The reminder arrives as a new Slack message from the 7taps app.

To set this up, configure the Reminder Settings before you share. You can customize the reminder message to give it a fresh angle. Don't just repeat the original message.

Manual reminders

After a course has been shared, you can send manual reminders to individual learners or to all learners who haven't opened the course yet, directly from Analytics.

To send a reminder to all unopened learners:

Open the course and go to ⋯ → Analytics.

On the Highlights tab, find the Didn't open count.

Click Send reminder.

To remind a specific learner:

  1. Go to Analytics → Learners tab.

  2. Find the learner and click Remind.

All reminders (automatic and manual) are sent via Slack, through the same channel the original course was shared in.

⚠️ How reminder timing works: Reminders are dispatched on a 30-minute cycle, at :00 and :30 of every hour. When you trigger a manual reminder, it will go out at the next available dispatch window, not instantly.

  • If you send a reminder at 12:29, it goes out at 12:30 (about 1 minute later).

  • If you send a reminder at 12:31, it goes out at 13:00 (about 29 minutes later).

Only one reminder per learner per course can be sent within any 24-hour period.


Tracking engagement in Analytics

Once your course is live, 7taps gives you clear visibility into how learners are engaging with it without leaving the platform.

To access Analytics, open your course and go to ⋯ → Analytics.

Highlights tab

The Highlights tab gives you a top-level view of engagement:

  • All users — total number of learners the course was shared with.

  • Opened — how many learners have opened the course, and the percentage this represents. Includes a breakdown by device (desktop, tablet, mobile).

  • Didn't open — learners who received the course but haven't opened it yet. From here, you can click Send reminder to re-engage them via Slack in one click.

Learners tab

The Learners tab shows individual-level data for every learner:

  • Status — whether they've completed the course.

  • Time spent — how long they spent in the course.

  • Score — their quiz performance (if applicable).

  • Last activity — the date they last engaged.

  • Remind — for learners who haven't opened the course, a Remind button lets you send them an individual nudge via Slack without leaving the analytics view.

You can filter by sharing channel (e.g. MS Teams, Slack) and download the learner list for reporting purposes.


Common Questions

Q: Who can connect Slack to 7taps?
Only the team owner of your 7taps account can connect the Slack integration. Once it's connected, any team member can share content via Slack.

Q: Who can share content via Slack once it's connected?
Any member of your 7taps team can share content via Slack, you don't need to be the team owner.

Q: I don't have admin rights to connect Slack. What happens?
7taps will automatically send a connection request to your Slack Workspace Admin. Once they approve it, go back to 7taps and click Connect Slack again to complete the setup. If the request is still pending, follow up directly with your Slack Workspace Admin.

Q: Private channels aren't showing up in 7taps. How do I fix this?
Private channels don't appear in 7taps automatically. You need to first add the 7taps app to each private channel you want to use. Note that once added, it can take up to 24 hours for the channel to appear. If you don't see any channels at all, ask your team owner to reconnect Slack.

Q: Can learners reply to the 7taps message in Slack?
No. The 7taps Slack app is built for one-way delivery. Messaging back to the 7taps app has been turned off. Learners interact with the content by clicking Open and completing the course, not by replying in Slack.

Q: When exactly does a manual reminder get sent?
Reminders are dispatched at :00 and :30 of every hour. When you trigger a reminder, it will go out at the next available window. For example, triggering at 12:29 means it sends at 12:30; triggering at 12:31 means it sends at 13:00. Only one reminder per learner per course can be sent within a 24-hour period.

Link sharing is just one option. Depending on your needs, you might prefer:

  • Link/QR - Send a URL or post a QR code for easy access

  • WhatsApp - Mobile messaging for international teams

  • Microsoft Teams - Workspace-integrated learning

Integration Methods:

  • SCORM - export SCORM/xAPI for LMS upload

  • iFrame - Embed on websites or intranets

  • API - Connect to your HRIS or other systems

Special Modes:

  • Kiosk Mode - Optimized for shared devices with reset functionality
